Admin Positions

XCL World Academy (Singapore) is seeking dynamic, experienced and flexible Relief Teachers who are able to teach Early & Primary Years classes such as EY, PY Homeroom, PE, Music and Art for students from Pre-K to Grade 5 to cover full time teachers for temporary periods.

Preference will be given to teachers who have relevant subject-specific IB PYP experience, as well as a clear track record of teaching in international school settings. Due to the nature of the contract, candidates must be residing in Singapore and be eligible to work in Singapore.

Main Responsibilities

  • Teachers should be willing to contribute positively to the collaborative culture of the School.
  • Demonstrates to professional ethics, international mindedness and the school’s mission
  • Adheres cooperatively to XCL policies and regulations, including duties, deadlines, programme requirements (IB).
  • Seeks clarification in case of lack of clarity in order to fully meet all expectations of the role and sets and maintains consistently high standards.
  • Contribute to the development of curriculum and assessment documentation

Person Specifications

  • Preferred minimum 2 years of relevant IB programme experience
  • Undergraduate degree from a recognized university or college
  • Teacher professional certification specific to applied position
  • Teaching experience and professional certification specific to applied position
  • Minimum of two years’ experience as a class teacher, preferably in an international K-12 school

XCL World Academy has a vacancy for a Procurement Assistant position. The successful incumbent would primarily be in charge of the School Stationery Shop and supporting the Procurement team with administrative duties such as the purchase order process.

Main Responsibilities

  • Efficiently manage the school store with accurate record-keeping, ensure items are well organised and stored
  • Manage the school store and establish excellent record keeping of goods that were brought in and out
  • Maintain accurate receipts, records, and withdrawals of the stockroom
  • Receive goods, retrieve goods from the store and shelve supplies in an orderly manner
  • Manage and organise stocks such as returning of goods, labelling and pricing accurately
  • Inspect deliveries for damage or discrepancies; report those to the Finance department for reimbursements and record-keeping
  • Adequately keep records and manage all documentation in detail to ensure stock is accurately recorded and maintained to ensure proper inventory control
  • Guide and direct customers professionally with internal and external customers. Provide support and solutions to resolve issues raised
  • Keep accurate reports of transactions and rotate stocks and coordinate the disposal of surpluses
  • Monthly verification and inventory reports to be generated
  • Distribute uniforms purchased by parents via the online store
  • Assist users in following up with vendors for deliveries and items purchased
  • Receiving of goods on users’ behalf during school hours and arranging for heavy objects to be delivered to the respective users
  • Raising of Purchase Orders for ad-hoc purchases and response to queries raised on status of PO to the respective end user
  • Updating goods received in the system for departments and monitoring of purchase requisition to raise the POs and assignment of the queries
  • Assist, support and provide advisory on processes and compliance to internal and external stakeholders
  • Support the Procurement team with any other administrative duties as assigned

Person Specifications

  • Minimum Diploma in Business Management /Accounting or Administration or other relevant courses
  • Minimum two years of experience in a similar role
  • Knowledge of proper bookkeeping and inventory management
  • Excellent written, verbal, communication and interpersonal skills
  • Competencies in data entry, analysis and computer skills in Microsoft and Google Suites
  • Attention to details with good follow up skills in ensuring issues are resolved promptly
  • Demonstrate professionalism to support a culture of integrity within the team
