Admin Positions

XCL World Academy is looking to recruit an Executive Secretary who will work closely with the Superintendent and General Manager to organise all functions of the school’s central office.  

The work will require a variety of unspecified and sometimes unpredictable tasks that need a good understanding of the entire school organisation, including sub-offices and departments.

The Executive Secretary provides a range of office, clerical, and personal/professional services to the Superintendent and General Manager, and duties will be unpredictably generated during any time period or throughout any given day.

Main Responsibilities

  • Organise Superintendent and General Manager’s calendar (including providing alerts in relation to the School’s calendar events and the Superintendent’s other responsibilities and appointments), facilitate meeting needs for them and set up visitor logs in the visitor management system. 
  • Provide, as requested, (but not limited to) confidential secretarial services to Superintendent and General Manager.
  • Deal with incoming and outgoing correspondences, telephone calls, emails, and communications. 
  • Organise and maintain the filing system related to school issues, including school policies and procedures.
  • Maintain the Staff Portal in association with Human Resources and other Departments.
  • Responsible for the flow of accurate information as required to other school offices and for maintaining official school office records for the Superintendent and General Manager for references as needed.
  • Compile agendas with input from the Senior Leadership Team, Academic Leadership Team and Management Team meetings and assembles required materials for meetings and circulate them prior to meetings.
  • Arrange interviews with parents, staff and teachers and external visitors as applicable.
  • Arrange Superintendent and General Manager travel itineraries and arrangements.
  • Organise special occasion projects and events with/for the Superintendent and General Manager.
  • Organise workload and priorities on a daily basis in a systematic and organised manner and meet daily or periodically with the Superintendent and General Manager to review needs and priorities.
  • Record meeting minutes or notes, maintain a digital record, and circulate the completed copy to meeting participants as required. Scrutinise all minutes taken and reminds Leadership on actions needed when appropriate. 
  • Become the main point of contact for governing agencies such as CPE and EDB. Disseminates communications from the agencies as appropriate.
  • Manage the Conference Room bookings for all staff, prepare ad-hoc reports, and coordinate parent events to engage parents in school activities and celebrations.
  • Deal with inquiries – especially during any absence of the Superintendent and General Manager and decide on how to deal with the query, whether to be referred or delegated to another member of staff. 
  • Use discretion in providing both personal and professional information within and outside the school.
  • Maintain and upkeep the appearance of the Superintendent and General Manager, conference rooms and meeting areas in a professional manner.

Person Specifications

  • Minimum Diploma or Degree in Business Administration/Management/Secretarial certifications. 
  • Minimum 3-5  years experience in a similar role, preferably within a school environment. 
  • Excellent stakeholder management skills, interpersonal skills, able to communicate and engage effectively and professionally to build a good relationship with internal and external members.
  • Ability to work as an individual as well as in a team with exceptional collaborative skills
  • Able to manage situations and remain calm when under pressure.

This is a 3-month contract position with a possibility of extension based on operational needs.

  • Support the Marketing Department with market research, database building and data entry.
  • Create content and document photos and videos from daily school life and events.

XCL World Academy is seeking to recruit an ICT & Audio Visual (AV) Support Engineer

This position supports both ICT and AV-specific needs of XCL Singapore Schools (XCL World Academy and XCL American Academy). The engineer works out of the ICT Office while supporting teachers and staff in their classrooms or offices. The successful incumbent will be a collaborative partner and a “backup” support to the AV support engineer for school activities and events. 

Main Responsibilities

  • Provide Tier 1 troubleshooting and support to help resolve users’ ICT, AV and hardware issues.
  • Install, uninstall, configure and troubleshoot software and hardware on Mac, iOS devices, and PCs.
  • Deploy, set up, and operate Smart Boards, LEDs, Projectors, and any projection-related hardware.
  • Resolve ICT help tickets promptly and document any relevant incidents.
  • Create documentation (help sheets and videos) for our helpdesk knowledge base. 
  • Promote a culture of safe, responsible, and legal use of technology.
  • Work proactively to meet Service Level Agreements (SLA).
  • Support parent requests as needed.
  • Provide collaborative and backup support to the AV support engineer for schools’ activities and events, e.g., auditorium performances, PD days, parent events, workshops, and conferences,  including but not limited to:

XCL World Academy has a vacancy for the school year 2023-2024 for Teaching Partners (Relief) to assist Pre-K to Grade 5 students in classes during the absences of Full-time Teacher Partners for temporary periods. This is a 1-year Relief Contract position where you will be contacted on an ad hoc basis when a cover requirement arises. XCL World Academy is seeking to recruit an Audio Visual Technician. The AV technician supports all audio-visual technology resources and services within the school. The successful incumbent works primarily in the school auditorium to support the performances and assemblies, and as a member of the ICT department, the AV technician may be called upon to provide audio and visual support in classrooms at school events and conferences.

Main Responsibilities

  • Provide technical and creative audio-visual design assistance and problem-solving.
  • Deploy, set up, and operate LEDs, projectors, and audio equipment. 
  • Coach staff and students on how to use AV equipment.
  • Support periodic school activities, e.g., PD days, parent events, workshops, conferences, etc.
  • Seek and engage external vendors to provide necessary support as put forth by event organisers.
  • Create knowledgebase (Freshdesk) documentation to help share knowledge with ICT staff and staff/students.
  • Responsible for the operation and coordination of all AV systems required for live or streamed performances or events, including but not limited to:
    • Work  with users on theatre, audio and visual requirements;
    • Conduct or attend pre and post-production meetings to better understand and manage the performance;
    • Operate lighting, sound and video and keep all equipment in working order;
    • Provide editing for event archival footage when necessary;
    • Work according to requirements stipulated in the SLA within XWA;
    • Ensure that all related audio-visual equipment is fully functional and safe;
    • Diagnose failures and problems to identify and understand the underlying causes and take appropriate action in case an equipment or operation challenge arises;
    • Initiate repairs and replacement requests to vendors when necessary;
    • Conduct periodic checks and issue timely reports or as requested by management;
    • Manages the venue and support resources booking systems.
  • Provide maintenance and help with the planning of upgrades for all AV-related equipment.
  • Design, implement and maintain an audio-visual equipment inventory.
  • Manage vendor relationships on procurement and repairs.
  • Assists with annual budget planning for AV equipment and the Auditorium.
  • Identifies and recommends new products that would benefit the school.
  • Upload or modify schedules of content as requested by authorised users or management.
  • Responsible for the uptime and maintenance of the Video-Wall and eSignage system.
  • Work with ICT engineers as needed to operate, troubleshoot, and share knowledge across. 
  • Exercise and implement safety precautions when working with equipment, students, and other staff.

XCL World Academy has an immediate vacancy for a Service Engineer (Facilities) position reporting to the Facilities Manager.

The successful candidate will be assisting the Facilities Manager with the operations and smooth running of daily school operations and taking ownership of the facilities and the properties assigned. Responsible for providing comprehensive facilities management services for the identified sites in support of school business needs and goals.

Main Responsibilities

  • Manage a team of direct reportees as well as indirect reportees from vendors who provide various services to the school. 
  • Ensure that reportees and Indirect reportees are motivated and work as a team for desired results.
  • Ensure all safety procedures are maintained at all times on-site, including Crisis Management, Business Continuity and Emergency Procedures.
  • Own and supervise any maintenance/expansion project works related to Infrastructure and M&E.
  • Ensure that all facility management functions reporting to the role are properly managed and give the best results to ensure that they meet business requirements.
  • Management reporting on overall facility management operations and key achievements to the Facilities Manager.
  • Responsible for risk management issues and legal and compliance matters.
  • Drive programs to reduce risks and other incidents on-site.

  • Minimum Degree or Diploma in any relevant areas of qualifications.

  • Knowledge of Computer Room Air-conditioning (CRAC), Chiller system, Fire Protection System, Electrical system, Security System, and BMS system.

XCL World Academy (Singapore) is seeking dynamic, experienced and flexible Relief Teachers who are able to teach Early & Primary Years classes such as EY, PY Homeroom, PE, Music and Art for students from Pre-K to Grade 5 to cover full time teachers for temporary periods.

Preference will be given to teachers who have relevant subject-specific IB PYP experience, as well as a clear track record of teaching in international school settings. Due to the nature of the contract, candidates must be residing in Singapore and be eligible to work in Singapore.

XCL World Academy is seeking dynamic, experienced and flexible Relief Teachers who are able to teach or comfortable covering all subjects (Physical Education, The Arts, Design, Modern Languages, Individuals and Societies, Language and Literature  Mathematics & Science) across the Middle Years Programme and Diploma Programme (Grades 6-12) to cover teachers who are absent on medical or other leaves.  

Preference will be given to teachers who have relevant subject-specific IB MYP/DP experience, as well as a clear track record of teaching in international school settings. Due to the nature of the contract, candidates who are Singaporeans, Singapore Permanent Residents or have a pre-approved pass (Eg: Letter of Consent) to work in Singapore will be considered for the role. 

* Candidates who require a work pass to work in Singapore will not be eligible for this position

Main Responsibilities

  • Teachers should be willing to contribute positively to the collaborative culture of the School
  • Demonstrates professional ethics and international mindedness, and supports the school’s mission 
  • Adheres cooperatively to XCL policies and regulations, including duties, deadlines, programme requirements (IB)
  • Seeks clarification in case of lack of clarity in order to fully meet all expectations of the role and sets and maintains consistently high standards
  • Contribute to the development of curriculum and assessment documentation

Person Specifications

  • Preferred minimum 2 years of relevant IB programme experience
  • Undergraduate degree from a recognized university or college
  • Teacher professional certification specific to the applied position
  • Teaching experience and professional certification specific to applied position and age range
  • Minimum of two years’ experience as a class teacher, preferably in an international K-12 school
  • Cover arrangements will be informed to shortlisted candidates in the early morning or a day before the commencement
  • Candidates must be comfortable commencing work within a short notice period
